WORKetc Gmail CRM G Suite Integration

Google unveiled a new name for their popular suite of productivity apps last year. Instead of Google Apps for Work, it’s now known simply as G Suite.

As a Google Cloud Partner, we were quick to conform to the new naming convention. If you’ve looked over our G Suite help docs over the past few weeks, you’ll have definitely noticed this.

Now, the name may be new, but G Suite still packs the same punch as it has in the past — and WORKetc’s deep and seamless integration with Google’s business software remains as slick and as useful a Gmail CRM as ever.

Here’s a quick look at how using WORKetc and G Suite together can help boost your productivity and business growth even further.

Gmail CRM

The WORKetc Gmail gadget will allow you to create a new sales lead, update a project, and assign a task or support case, all from inside your Gmail inbox. You can also just attach the email so that it displays on the sender and recipient’s activity streams.

It lets you act quickly on any piece of communication that reaches your inbox, effectively letting you manage your entire business without ever leaving Gmail.

When someone sends you an important email, you can make sure it doesn’t get lost among the hundreds of other emails cluttering up your inbox. Plus, you won’t have to forward that email to other people in your company. You can turn it into an actionable item right away from inside Gmail.

For example, let’s pretend you’re the owner of a digital marketing firm. A client emails you asking about your SEO services. You can immediately turn that potential client into a WORKetc contact and the email into a sales lead, and then assign that sales lead to your top salesperson so they can start nurturing it immediately — all without even having to switch to WORKetc.

Or let’s say one of your existing clients has some changes they want to make to a marketing project you have running for them. You can simply attach the email to the project and then create a new task about the updates so it doesn’t fall through the cracks.

The Gmail gadget will automatically be added to every email that hits your inbox, turning it into a Gmail CRM once you enable WORKetc’s G Suite integration.

Open up an email in your inbox within your G Suite Gmail account and scroll down to where you would normally make a reply. This is where you’ll find the WORKetc Gmail gadget.

By clicking on the “Create New” button at the top left corner of the gadget, you can create new items in WORKetc and attach the email to it automatically.

Google Contacts

You can quickly copy over your Gmail Contacts to WORKetc and automatically add tags to them by enabling WORKetc’s integration with G Suite Contacts. The advantage here is two-fold.

First, it makes populating your WORKetc contacts database very quick and easy. Just enable Contacts integration, sync your G Suite Contacts with WORKetc, and you’re good to go. This is especially useful for when you already have a lot of business contacts on your Gmail account and are just transferring them to WORKetc for the first time.

Second, it helps you make sure that the contact information in WORKetc is always as up to date as possible. Let’s say one of your clients switches to a new work email address. When you update your G Suite Contacts entry for that client, that new email address will automatically be pushed forward to WORKetc.

Anybody who needs to get in touch with that client via WORKetc won’t run the risk of sending any important emails to an address that no longer works. Nobody has to waste time trying to run down the correct email address either.

Once enabled, the sync will automatically happen every 10 minutes. You can also initiate a manual sync by heading to Settings > Apps & Integrations and clicking on the “Settings” button under Google Contacts Sync.

Google Calendar

WORKetc’s calendar features is a tried-and-tested way of making sure everyone in your company stays on the same page.

Any event on your WORKetc calendars can be synced over to your G Suite Calendar, letting you stay on top of all of them even when you’re out of the office simply by using your mobile devices. There’s also an option to sync tasks as events.

Syncing WORKetc and G Suite calendars also makes it easier to manage your team’s schedule.

Imagine you’re the head of your company’s marketing team. You can create a content marketing calendar for all of your upcoming blog and social media posts. You can share this calendar with everyone on the marketing team (or even just the team leader, if you want) to ensure that every piece of content is published exactly when they need to be.

You can also create and sync different calendars per role or department in your business. For example, you can create an SEO calendar for your SEO team that syncs with your own SEO calendar so you’re always informed of what’s in the pipeline. You can also do the same thing for your sales team.

Google Drive

You can attach files — images, documents, zipped archives — to nearly anything in WORKetc. The system makes searching for specific files easy by letting you organize them into nested folders and subfolders.

You can further extend this functionality by integrating WORKetc with Google Drive. This will let you access every single file on your Drive account from within WORKetc through Documents > Files and Attachments.

By linking Drive to WORKetc, you always have access to the latest version of your Drive files without leaving WORKetc. All of Drive’s file sharing permissions are also respected, so you can easily choose with whom you share your important files.

This means you can upload an in-depth client brief for a marketing project to Drive and attach it to the appropriate project in WORKetc, letting everyone working on the project see exactly what the client wants and needs.

You can also, for example, use Drive as a repository for all resources and drafts for your marketing content, be they blog and social media posts or videos and marketing graphics. Drive’s commenting system, used together with WORKetc discussions, makes providing feedback a cinch.

When you’re closing a deal with a new client, you can even add a link to a contract on Drive that your client can sign electronically to an email. No muss, no fuss; quick and clean.

Do More Even Without A Paid G Suite Account

In the past, G Suite integration was restricted to WORKetc users who have admin-level G Suite accounts with access to the G Suite admin console; non-admins as well as those who have the free “consumer” Gmail accounts (those with “name@gmail.com” addresses and not the custom ones that come with a paid G Suite account) weren’t able to turn the integration on.

We’ve since released an update for the web app lets even non-admins and those who have free Gmail accounts enable the integration. Just go to Settings > Apps & Integrations, click the “Settings” button under G Suite, and click on the “Do Authorization Separately” link.

A free Gmail account still comes with access to Contacts, Calendar, and Drive, so this new feature lets you do even more with WORKetc even if you don’t have a paid or admin-level G Suite account.

Note that the new update only lets you enable those three featured integrations mentioned above. Enabling the Gmail CRM gadget still requires access to the G Suite admin console.

We have been using WORKetc with G Suite for many years. I can’t tell you how effective it is to use the GMail gadget and the Drive connectivity. That integration let’s us keep everything connected between our collaboration tools and our project / CRM / invoicing… wait it is WORKetc so everything.

I doesn’t matter if I get a lead or a client request for support or projects. It comes in my email and is handled from my email. Time accounted for, everything documented, tasks assigned and I never leave my email. It just can’t be beat!

Unfortunately, we don’t use g suite for any work related activities, but this almost makes me wish we did. It’s great that there is an added communication between the two systems. Anything that reduces barriers and helps work move more quickly is a positive step.

We created our own G Suite domain several years ago primarily to give us full control over how we integrate with WORKetc. I am a heavy user of GS/WORKetc and am blown away by the possibilities. There are so many ways to do things that my biggest problem is choosing from among the many good options.
