Maybe you started out with just a financial spreadsheet, or you were the only “sales force” and felt you could keep it all in your head, juggling customers and projects. Perhaps it is getting a little more complicated than you thought it would be and are buying one software solution after another.
If trying to integrate them all into a comprehensive database is becoming very frustrating and expensive, it might be time to find a service business software tool that combines your Customer Relationship Management (CRM) with your projects and your billing, all in one system.
If you recognize that you need a comprehensive small business management software system here are several things you need to know:
- Before you invest in software, find one that gives you a trial period that lets you get comfortable and if you are not satisfied, lets you take your input data with you.
- Look for a comprehensive small business management software that is subscription based on a month-to-month fee base with no contract, no set-up fee and will allow you to increase your storage capacity as you grow.
- You should be able to access your information from any internet connection, and your software must have upgradeability in order not to become obsolete.
- Make sure the software allows you to seamlessly integrate your customers’ needs with your ability to contact and inform them in a timely manner and easily allows you to collaborate with them on their projects.
- Your Software should give you an overview of the projects, how much time you are spending on each one, whether you are undercharging and give you a basis for future quotes and product pricing. This allows you to manage your time better and ensure your quotes reflect your actual work.
- If you have a “team” be sure that you can keep them up to date and informed about every project, every problem, every contact, without having to sit everyone down on a day-to-day basis taking time away from the actual business by allowing them to review the online progress of their projects without you.
- Make sure the total platform supports your project pricing by integrating inventory, invoicing (accounts receivable) and bills to be paid (accounts payable) in a timely manner with real-time reports on job profitability.
- Find small business management software that gives you a single, secure system that automates key tasks, work-flow calendars, time-tracks, follows up on new sales or project leads and provides client-access to a special project timeline for your client to have confidence in your attention to their project.
- Many small business management software packages require some double entry to interface the programs- avoid these at all costs. Time is money!
